Schedule candidates with Dover using booking links, direct interview scheduling, or manual interview tracking.

Quick Setup

Before emailing and scheduling candidates in Dover, you'll need to:

  1. Authorize your email account in Personal Settings > Email Connection (Dover only supports Google Workspace)

  2. Choose an scheduling method in Personal Settings > Interview Scheduling:

    • Dover Scheduling (uses Google Workspace)

    • Third-party link (e.g., Calendly)

    • Manual scheduling (no link)

Interviewers who want to be included in Dover Scheduling must enable Dover Scheduling in their preferences and connect their calendar.


Ways to schedule candidates in Dover

There are several ways to schedule candidates, depending on how your team works.

Send a candidate-specific scheduling link

This is best when you want the candidate to choose a time.

If you use Dover Scheduling, you can send a candidate-specific booking link so the candidate can self-schedule an interview.

To schedule this way:

  • Go to the candidate's profile

  • Click one of the options to email the candidate

  • Click Add scheduling link and choose the interviewer and duration of interview

  • Send the email to let the candidate book a time

Dover will track the interview on the candidate profile when the candidate books through the scheduling link.

Pro tips:

When you add interviewers to the Interview Plan for a job and include a {{scheduling_link}} variable in the email template for that interview stage, the candidate-specific booking link will automatically be generated.

When you add a default interview to an email template, the {{scheduling_link}} variable will be automatically generated.

Manually schedule using interview scheduling tool

This is best when you already know the candidate’s availability and want to proactively place the meeting on calendars. It works best when you have a completed Interview Plan with interviewers added who are using Dover Scheduling.

When you click Schedule Interview, you can:

  • View interviewer availability

  • Schedule with one interviewer or multiple interviewers

  • Create calendar events with the candidate and interviewers

To use this option:

  • Open the candidate profile

  • Click Schedule Interview

  • Review interviewer availability

  • Choose dates and times for interviews

  • Create the calendar events

  • Send calendar events to candidates + interviewers

Interviewers must have Dover Scheduling enabled and their calendar connected in order to appear as available for scheduling. This features works with Google.

Add interview details manually

Use this option if the interview was scheduled outside of Dover but you still want to track it on the candidate profile.

To manually add an interview:

  • Open the candidate profile

  • Go to the Interviews tab

  • Click Add interview (no automations)

  • Enter the interview details

  • Save the interview

Interviews will appear on the candidate's activity feed. They can be deleted or edited. Manually added interviews are for tracking only. They do not trigger automations or workflow actions.

Update interview stage and substage

You can update both the interview stage and substage on the candidate profile.

The stage dropdown lets you choose where the candidate is in the hiring process, such as:

  • Recruiter Screen

  • First Interview

  • Onsite

For each interview stage, you can also set a substage:

  • Scheduling

  • Scheduled

  • Completed

This helps your team track progress more clearly during each part of the interview process.

For example, a candidate could be in the Onsite stage with a substage of Scheduling before interviews are booked, then move to Scheduled once the calendar event is created, and finally to Completed after the interview happens.


Rescheduling candidates

If you use Dover Scheduling and candidate booking links, you can reschedule interviews in Dover.

Reschedule from a Candidate's Page

  1. Click the search icon from the left sidebar menu and search for a candidate

  2. On the candidate page, click Reschedule

  3. Customize your rescheduling email and click Send

  4. Your existing interview will be canceled. If using Dover Scheduling, the candidate will receive a new scheduling link

Reschedule from Google calendar event

  1. Find the event on your Google Calendar and click on it

  2. You will see two rescheduling links - one for you, and one for the candidate

  3. Click on Reschedule in ATS to get started

  4. You'll be redirected to Dover where you can customize and send the rescheduling email


Frequently Asked Questions

Do I need to set up my interview plan before scheduling candidates?

No, but setting up your interview plan first will make the process easier and faster. It's also helpful to set up email templates and assign them to each interview stage.

Can I change my scheduling preferences?

Yes, each interviewer can set and change their scheduling preferences in Dover at any time.

Can I schedule multiple interviews at once?

Yes, when you use the Interview Scheduling tool, you can manually schedule multiple interviews at one time.

What happens if a candidate needs to reschedule multiple times?

When using the candidate booking links, candidates are able to reschedule as many times as needed. Each time, the previous interview will be canceled and a new scheduling link will be sent.

Can I schedule with more than one interviewer?

Yes. Schedule Interview supports scheduling with one interviewer or multiple interviewers.

Why can’t I see an interviewer’s availability?

The interviewer must have Dover Scheduling enabled in their preferences and must connect their calendar.

Can I track interviews that were scheduled outside Dover?

Yes. You can click Add interview (no automations) on the candidate profile to manually record interview details.

Do manually added interviews trigger automations?

No. Manually added interviews are only for recordkeeping and do not trigger automations.

What do the interview substages mean?

Substages help show the status of a specific interview stage:

  • Scheduling means the interview is being arranged

  • Scheduled means the interview has been booked

  • Completed means the interview has already happened

Can I update the interview stage without scheduling an event?

Yes. You can update the stage and substage independently from the calendar scheduling flow.
