Create and manage customized email templates for efficient candidate communication throughout your hiring process.

Email templates enable streamlined, consistent communication with candidates while saving time and maintaining your company's professional voice throughout the hiring process.


Creating templates

From scratch

  1. Navigate to Settings & Members

  2. Select Email Templates

  3. Click +New in the upper right corner

  4. Under the Edit tab, add:

    • Template name

    • (optional) cc'd and bcc'd email addresses

    • Subject line

    • Compose email body

    • Add hyperlinks as needed

    • Add dynamic content variables like {{scheduling_link}}, {{sender_first_name}}, and more

  5. Click Save to store the template

From existing emails

  1. Modify an email before sending

  2. Click Save New Template

  3. Adjust template name

  4. Click Save to store in Email Templates


Managing templates

Access template management

Access your templates through:

  • Company Settings > Email Templates

  • Template dropdown menu > Manage

  • Interview plan stage settings

Email template actions

  • Edit existing templates by clicking on the email template name

  • Duplicate templates to create a copy of an existing template to edit

  • Delete unused templates


Using templates

In candidate communications

  1. Select a candidate and send them an email

  2. Under the template dropdown, select a template

  3. Modify the message if needed

  4. Send the email

On Interview Plans

  1. Navigate to the Interview Plan tab for each job

  2. Click ✏️ Edit on the desired interview stage

  3. Select templates from the dropdown for:

    • Scheduling

    • Rejection

  4. Choose between Smart Reply or saved email templates
