How to access your interview plan
Go to the Dover App
Select a job
Navigate to the Interview Plan tab
How to edit an interview plan
Dover's interview plan allows you to create and adjust your interview process.
How to edit an existing interview stage
Go the the Dover App and select a job
Navigate to the Interview Plan tab
Click the pencil icon next to an interview stage to make changes
How to add a new interview stage
Go the the Dover App and select a job
On the Interview Plan tab, click + to add a new interview stage
Select a Single-part Interview, Multipart Interview or Assessment / Other.
Complete the stage details and click Next
How to reorder interview stages
Your interview process may change over time. If you need to reorder your interview plan, you can easily make changes.
Go the the Dover App and select a job
On the Interview Plan tab, hover over an interview stage
A hamburger icon will appear to the left of the interview stage
Click on the hamburger icon and drag the stages to reorder
How to delete an interview stage
Go the the Dover App and select a job
On the Interview Plan tab, hover over an interview stage
A trashcan icon will appear to the right of the interview stage
Click on the trashcan to delete an interview stage.
Note: To delete a stage, there cannot be any candidates (active or inactive) in that stage. In the Candidates tab, move candidates to another stage before deleting that stage on the Interview Plan tab.
Default interview stages
These stages are automatically included in all interview plans and cannot be edited or removed.
Applied
Applicants will appear in the Applied interview stage of the Candidates tab. They can also be viewed in more detail in the Applicants tab.
Stage name - Cannot be edited
Rejection - Assign an email template or choose smart reply
Responded
Candidates who respond to sourcing outreach emails will appear in the Responded interview stage of the Candidates tab.
Stage name - Cannot be edited
Rejection - Assign an email template or choose smart reply
Offer
The offer stage is the final stage of any interview process and cannot be edited.
Customizable interview stages
These stages can be fully customized to fit your recruitment process.
Single-part interview
Single-part interviews are ideal for sending a scheduling link for a candidate to book time with an interviewer.
Stage name - Edit the interview stage name (often visible to candidates in email templates and calendar events)
Duration - Choose the length of the interview from the dropdown options
Default Interviewer(s) - Assign interviewer(s). If multiple interviewers are added, Dover will round robin between interviewers based on availability
Email Templates - Assign email templates to each interview stage to standardize your candidate emails
Scheduling - Choose an email template or click +New Template to create a new one
Rejection - Choose an email template or click +New Template to create a new one
Feedback form - Assign feedback forms to each interview stage for interviewers to submit feedback
Note: Interviewers must complete their interview preferences before Dover can send scheduling links to candidates.
Multi-part interview
Multipart Interviews are great for virtual or in-person onsite interviews where there are multiple interview steps on a single day.
Stage name - Edit the interview stage name & sub-stage names (often visible to candidates in email templates and calendar events)
Sub-stages:
Order - Select the order of the substages. If the order does not matter, choose "Any"
Stage name - Edit the interview stage name (e.g. "Behavioral")
Duration - Choose the length of each interview from the dropdown options
Default Interviewer(s) - Add or remove interviewers for each sub-stage. Check the checkbox if "All interviewers are required" for this stage
Feedback form - (optional) select an interview feedback form for each sub-stage
+ Add Interview - Create an additional sub-stage
Delete Interview - Click the trashcan icon to delete a sub-stage
Assign email templates:
Scheduling - Choose an email template or click +New Template to create a new one
Rejection - Choose an email template or click +New Template to create a new one
Assessment / Other
Assessment / Other interview stages can be used for take home assignments, reference checks, or any other non-meeting stage of your interview plan.
Stage name - Edit the interview stage name (often visible to candidates in email templates)
Assign email templates - Assign email templates to each interview stage to standardize your candidate emails
Scheduling - Choose an email template or click +New Template to create a new one
Rejection - Choose an email template or click +New Template to create a new one
Feedback form - Assign feedback forms to each interview stage for interviewers to submit feedback
Frequently Asked Questions
What's the difference between default interview stages and customizable interview stages?
Default interview stages (Applied, Responded, and Offer) are automatically included in all interview plans and cannot be edited or removed. Customizable stages can be added, edited, reordered, or removed to fit your recruitment process.
What's the difference between single-part and multi-part interviews?
Single-part interviews are for one-on-one meetings with a single interviewer, while multi-part interviews are for sequential or panel interviews that happen on the same day.
Can I change my interview plan after candidates have started the process?
Yes, but if there are active candidates in a stage you want to modify, you'll need to move those candidates first.
Can I customize the scheduling emails sent to candidates?
Yes. Email templates can be assigned on your interview plan. When you advance of reject individual candidates, you the assigned email template will populate and you can customized before sending to candidates. How do I add interview feedback forms?
